Sales Admin Manager (Civil Engineering Solutions)

About the Role

My client is a global provider of engineered solutions for civil engineering, infrastructure and environmental applications. Our products and systems are widely used across transportation, marine, geotechnical, erosion control and structural applications, supporting complex projects in both public and private sectors.

We are seeking an experienced Sales Administration Manager to oversee and optimise sales support operations for a project-driven, supply-chain-intensive business. This role plays a critical part in ensuring seamless coordination between sales, supply chain, logistics, finance and customers, supporting efficient order fulfilment and sustainable business growth.

The successful candidate will be a strong people manager with hands-on operational expertise across sales administration, inventory, credit management and reporting.

Responsibilities

  • Oversee end-to-end sales administration activities, ensuring accurate and timely order processing and fulfilment
  • Coordinate closely with production, procurement, warehouse and logistics teams to ensure smooth delivery across West and East Malaysia
  • Monitor order flow from factory and external suppliers, proactively identifying and resolving supply chain bottlenecks
  • Support demand planning and forecasting by providing accurate sales and order data to relevant teams
  • Act as a key point of contact for customer inquiries, service requests and escalations
  • Work closely with the sales team to ensure customer requirements are met and delivery commitments are fulfilled
  • Build and maintain strong working relationships with key customers and internal stakeholders
  • Monitor stock availability and coordinate inventory allocation for confirmed customer orders
  • Identify slow-moving or aging inventory and recommend actions to improve stock turnover
  • Review customer credit applications and recommend credit limits in line with company policy
  • Monitor outstanding receivables and work with finance to manage overdue accounts and minimise credit risk
  • Prepare regular reports on sales performance, inventory levels, order status and customer trends
  • Analyse data to identify operational gaps, risks and improvement opportunities
  • Provide insights to management to support forecasting, budgeting and decision-making
  • Lead, supervise and develop the sales administration team, ensuring high performance and accountability
  • Allocate workloads, coach team members and support ongoing development
  • Drive continuous improvement of sales administration workflows, systems and controls
  • Collaborate cross-functionally to standardise best practices across the organisation
  • Support management-led initiatives, system improvements and special projects as required
  • Provide operational support and problem-solving for urgent or unplanned requirements


Requirements

  • Bachelor's degree in Business Administration, Supply Chain, Logistics or a related discipline
  • 8-10 years of experience in sales administration, sales operations or supply chain coordination roles
  • Proven experience managing order-to-cash processes, inventory and customer documentation
  • Prior exposure to credit control, inventory management or customer service is strongly preferred
  • Experience leading or supervising a team
  • Strong organisational, analytical and problem-solving skills
  • Excellent communication skills with the ability to coordinate across multiple stakeholders
  • Proficient in ERP systems, CRM tools and Microsoft Excel
  • Detail-oriented, structured and able to manage multiple priorities under pressure
  • High level of integrity when handling sensitive financial and customer information
